  Appointments Module Reports

 

 

 

Appointment Module reports are accessible through the Appointments Module window. They range from appointment notes for single counseling appointments or activities, to a summary of activities over the course of a month. Many other appointment summaries are available through the Documentation Module.

 

Appointment Note (Single Student)

The Appointment Note report for single student counseling appointments contains: appointment type; student attendance; start, end, and appointment times; session information; topic of appointment; competency and indicator addressed; specifics of session; and session notes.

 

 Appointment Note (Group)

The Appointment Note report for group counseling appointments contains: appointment type; student attendance; start, end, and appointment times; session information; topic of appointment; competency and indicator addressed; specifics of session; and session notes.  To print a note for the entire group, use the Groups > Review Group Appointments window.

 

 Appointment Note (Multiple Students)

The Appointment Note report for multiple student counseling appointments contains: appointment type; student attendance; start, end, and appointment times; session information; topic of appointment; competency and indicator addressed; specifics of session; and session notes.

 

Appointment Note (Consultations)

If you’d like to print documentation for the current consultation, press the Print button in the consultation window.  The Appointment Note for Consultations contains: whom the consultation was with; date of the consultation; the student whom the consultation regarded; the start, end, and total times; topic; consultation type; notes, and any needed follow-up.

 

Appointment Note Report (Referrals)

The Appointment Note for Referrals contains: student name; date of the referral; the start, end, and total times; topic; reason for the referrals; notes, and any needed follow-up. It also includes the type of referrals made, and the name and organization to whom the student was referred.

 

Referral List

The Student Referral List includes, for each Referral Resource to whom the student was referred: name, organization, address, phone, fax, and email. It does not contain any identifying student information.

 

System Support Activity Note

The System Support Activity Note contains: the date, start and end times, amount of time, type of activity, and notes.

 

Non-Guidance Activity Note

The Non-Guidance Activity Note contains: the date, start and end times, amount of time, type of activity, and notes.

 

Daily Schedule

This report shows, in order of scheduled time, the appointments for the currently selected date. It is particularly useful if you require a hard copy of each day, or want to verify that you’ve accounted for the hours in each day prior to printing other reports.

The information about each appointment includes the appointment number, type of appointment, time of appointment, and the name of the student.


Appointments Monthly Report
The Appointments Monthly Report, accessed from the Task Pane of the Documentation or Appointments Module windows, shows a summary of all appointments during the selected time period. It differs from the Appointment Summary in that it contains a bar chart, suitable for shorter periods of time.


Direct Services Summary
This report shows the number of direct services vs. non-direct services for the specified time period. Services are grouped by month, and displayed in both numerical form and percentages. A graph at the end of the report shows direct vs. non-direct hours, also grouped by month.

Attendance Report

The Attendance Report shows student attendance for all appointments during the specified time period. This report shows the attendance only for the main appointment: for example, if a student in a group didn’t show for a group appointment, this will not be counted as a “no show,” because the main appointment for the group shows that the appointment was kept.
